Rental Application Policy and Procedures
Please read this page fully and use it as your guide before you Apply. Please note that application fees are NON-REFUNDABLE for any reason. RE/MAX will continue considering other applications and the property will not come off the market until a reservation fee is received. The applicant is responsible for ensuring that RE/MAX receives all required information. If you have any questions regarding our application process and procedures, please contact your listing agent before submitting your application. Applications are considered complete when all individuals, age 18 and over intending to reside in the property, have submitted an application with all requested documentation and all application fees are paid.
Application Requirements
- All adults (18 and over) are required to submit an application along with a $65 NON-REFUNDABLE application fee per applicant. Applications without an application fee will not be processed.
- All applicants are required to present valid photo identification and current income documentation (see income documentation requirements below).
- All applicants are required to provide an SSN on the application. If an applicant does not have an SSN, they must provide proof of legal residency in the United States.
- Unauthorized occupants and subleasing (including but not limited to Airbnb and VRBO) are STRICTLY PROHIBITED.
- Applicants agree that they are accepting the property in its current "as-is" condition.
General Rental Criteria for Residency
We will be processing your application based on the following areas of information.
Approval time will depend on the response time of your employer and landlord(s). It is our goal to process applications within 2 business days after receipt of ALL required documentation, including landlord verifications. We highly recommend you call your current and previous landlords to verify their correct and updated email and phone numbers prior to submitting your application as this can significantly speed up the application process. Any false, incorrect, or incomplete information will cause a delay in your application and multiple applications are run at a time.
RE/MAX abides by all federal, state, and local landlord/tenant laws.
Rental History:
- The past 3 years of rental history will be verified and must be included on the application including the property address, landlord name, landlord phone number, and a valid landlord email address for all residences during this time.
- A negative rental history can disqualify an application. Negatives may include but are not limited to late payments, NSFs, lease violations, damages, and unpaid balances.
- No Forcible Entry and Detainer (evictions) unless you have verifiable documentation of landlord irresponsibility. However, an FE&D due to property damage, unpaid rent, drug use, or any criminal activity by the resident will not be accepted under any circumstance.
- Any eviction filed or granted, within the past 10 years is grounds for automatic disqualification.
- No history of any damage to the residence, or an outstanding balance due to a previous landlord.
- If there is money owed to a property management company, it must be paid in full & a receipt presented. If the money is not paid in full, applicant is automatically denied.
- If you have no prior rental history, then you may be asked to provide a qualified co-signer. (see co-signer section below)
- If the applicant owned or owns a home, we will verify mortgage payments on the credit report.
Verifiable Gross Income:
- Income must be at least THREE (3) times the monthly rent rate. The income of all applicants may be combined to meet this requirement.
- Current employment and income are verified at the time of application. Valid contact information for your employer is required.
- Applicants with W-2 employment are required to submit proof of income by providing 3 current, consecutive paystubs AND 2 current, consecutive bank statements. For faster processing and a stronger application, applicants may link a bank account or payroll to the Findigs software when submitting the application. Findigs will show you exactly what we will see before you proceed through the application.
- If the applicant is recently employed, a current offer letter stating the start date and income amount will be required.
- Applicants that are Business Owners, Self-employed, 1099 Contractors, or Paid in Cash, the past two years tax returns are required. Personal gross income after business expenses must meet the minimum income requirement. No exceptions are made to this requirement.
- Official documentation for other income sources such as social security, disability payments, or court-ordered child support must be provided.
- If moving over 1 hour away from your current residence, verification that there will be no change to your current income is required.
Criminal Background Check:
- Residency may be denied due to criminal history (see Criminal Background Criteria below)
Credit History:
- Payment history and amount of debts, liens, judgments, and bankruptcies are verified on credit reports.
- We receive our credit reports from Transunion.
- Previous unpaid apartment collections will result in an immediate denial of the application regardless of credit score.
- Open bankruptcies will result in an immediate denial of the application.
- Should you be declined based on your credit history and feel it is unwarranted, you should request a copy of your credit report to check for errors and re-submit the application once the credit report has been corrected. Resubmitted applications will be subject to the availability of the property originally requested.
Cosigners:
- If the applicant has poor/no credit, no residency history, or insufficient income, they may submit an additional application for a co-signer who will not be residing at the property.
- The cosigner must provide verifiable income documentation of FIVE (5) times the monthly rent amount individually. Cosigners that do not meet this requirement will be denied.
- The cosigner must submit an application, have a good credit history, and have a good residency history.
- The co-signer must sign the lease and will be fully responsible for the terms of the lease throughout the applicant’s tenancy.
Pets:
- If you have a pet, please refer to the listing and contact the listing agent to ensure the property accepts your specific pets.
- No other pets including offspring will be allowed.
- Certain aggressive breeds of dogs are not allowed in any of our rental properties.
- All pets living in the home must be registered and screened.
- Pet deposits/fees may vary based on the individual owner’s requirements. Contact the listing agent for confirmation.
- Your application fee will not be refunded if your pet is not accepted at the property or if you wish to not pay the additional pet deposit/fee.
Additional Requests:
- Applicants agree that they are accepting the property in its current "as-is" condition.
- If you have any special requests, you must contact the listing agent for written approval PRIOR to submitting an application.
Refund Policy:
- Application fees are NOT refundable for any reason.
- It is your responsibility to confirm availability, pet policy, lease terms, and any other additional requests PRIOR to submitting an application.
- It is your responsibility to provide all required documentation as well as valid contact information for yourself, your landlord(s), and your employer on the submitted application in a timely manner.
- If you apply and are approved, but the unit you applied for is no longer available, you may move your application to any available unit listed by the same listing agent that you are qualified for (subject to availability).
- Applications are good for 30 days after the submission date.
Criminal Background Criteria (If Applicable)
Disqualification From Residency
- First or Second Degree Murder
- First through Third Degree Assault
- Sexual Mis-Conduct
- Registered Sex Offender
- Arson
- Harassment and Stalking
- An Attempt to commit one of the above crimes
- A Conviction in another jurisdiction that would be a violation of the above crimes
Including but not limited to the above
Crimes That Disqualify For Residency For 7 Years After the Completion of Their Sentence
- Second Degree Manslaughter
- Criminal Vehicular Homicide or Injury
- Simple or Aggravated battery
- Any Felony Drug or Narcotics Convictions
- False Imprisonment
- Any weapons charge or failure to carry without a permit
- Felony Theft
- Felony Forgery
- Felony DUI
- Felony Burglary
- Terrorist Threats
- Felony Controlled Substance
- An attempt to commit one of the above crimes
- A Conviction in another jurisdiction that would be a violation of the above crimes
